01 · Retain the agreement

Confirm the accepted scope, project title, client and fee basis; retain the accepted version.
Record remaining decisions and assign an owner to each one.
Keep the client acceptance and any related agreement or approval evidence with the project.

02 · Configure the project

Create or review the project record. Check prefilled client, title and value against the agreement.
Set up the phase names, agreed fees and fixed-fee, hourly or non-billable methods manually.
Add relevant tasks and establish how the practice will record dates, time and billing references.

03 · Record and review the work

Record time with project context, descriptions, hours, billable status and the applicable hourly rate.
Review cumulative fixed-fee phase completion using the agreed progress basis.
Confirm prior invoicing and identify only unbilled hourly entries. Review separately any scope changes or credits.

04 · Prepare the first invoice

Check current fixed-fee amount = cumulative phase value − previously invoiced; add eligible unbilled hourly work.
Review amounts, client details, invoice reference, period and payment terms against the actual agreement.
Issue and retain the invoice, link source time records and record payment when received.
