Architecture project management software: a practical guide for US firms

A practical buying guide for US architecture firms: separate project delivery, commercial operations, staffing and accounting before comparing software.

Architecture project management software can refer to several different jobs: organizing delivery, planning staff, tracking the commercial agreement, preparing invoices or running project accounting. A useful buying process separates those jobs before comparing products.

For a studio of one to ten people, the principal may own several of them. That makes a connected workflow valuable, but it does not make every broad platform necessary or every narrow platform sufficient.

Define the work before the tool

Four layers of a practice workflow
LayerQuestions for the shortlist
Scope and commercial recordsWhere are the approved proposal, fees, phase terms and changes kept?
Project deliveryHow are responsibilities, tasks and dates recorded? Are drawings or document control also required?
Time and billingHow does recorded effort or fixed-phase progress become a reviewable invoice?
Financial and staffing operationsDo you need accounting, cost-based reporting or capacity scheduling in this system?

Distinguish essential functions from conveniences. If drawing coordination or BIM collaboration is the immediate need, a proposal-and-invoice product alone will not answer it.

Compare published scope without assuming equivalence

Monograph emphasizes A&E planning and staffing. BQE CORE covers wider firm operations. Deltek Ajera combines projects and accounting for small A&E firms.

Rizqo focuses on proposals, configurable projects and phases, tasks, manual time entry, invoices and recorded payments. Accounting, resource scheduling and cost-based profitability sit outside that scope. Each product should be demonstrated against your requirements.

Factor is no longer onboarding new firms; the Factor transition guide explains the current position.

Use a project you can inspect

Choose an anonymized commission and set up the phases that match its agreement. US labels such as schematic design, design development and construction documents may be appropriate, but phase names do not establish contractual scope.

Use one fixed phase, one authorized hourly service and an invoice already issued. Then ask each vendor to show the same next invoice. You should be able to identify previous billing, current billing and the source of each hourly rate without relying on an unexplained total.

Test the handoffs between records

  1. Write and share a proposal, then inspect its acceptance record.
  2. Create the project and identify which fields carry over.
  3. Configure phases, tasks, rates and responsibilities.
  4. Record and correct time, including non-billable work.
  5. Prepare the invoice and trace its lines to source records.
  6. Record a partial payment and inspect the outstanding balance.
  7. Export the records needed by the practice and its accountant.

In Rizqo, a project created after proposal acceptance starts with basic proposal information. Phases, tasks and invoices require separate setup. Read the documented sequence before expecting an automatic conversion.

Assess setup and everyday use

Have the people who will enter time and prepare invoices perform those tasks. Ask what must be cleaned before import, which records are supported and how historical documents remain accessible. Count the work left outside the application as part of the decision.

A list of features cannot show whether the routine fits your studio. A small sample project can.

Make the next step specific

Use the comparison guides to narrow the scope, the switching checklist to prepare records and Rizqo’s project page to inspect its workflow. Book a demo when you have a clear task to test.
